Winding Rivers Library System Costume Loan Guidelines                  

WRLS recently acquired a selection of fifteen adult-size costumes (see the list on the reverse of this page, for all characters).  Here are the guidelines for the use of the costumes:

Reservations

The costumes will be booked like a WRLS story bag, with requests to be placed with Dave Reinders at 608/789-7148 or the WRLS toll-free number.  The booking schedule for the costumes will be kept in a designated binder at Dave Reinders’s desk.

Reservations should be made by telephone (easier than email to confirm availability).

Use Eligibility

The costumes are for the use of WRLS member public libraries and member school districts.  They are to be used in connection with library promotional events.

Loan Period

The costumes will be loaned for a period of one week, from one van delivery cycle to the same day in the next week.  Please be sure to return them in the labeled box in which they arrive.

In the event of requests for the same costume for the same week, schedule information will be shared with the interested parties, who may negotiate with each other - for example, if Library A has it booked for a Monday event, and Library B wants it for another day that week, those two libraries may arrange to move the costume between them.  They must also decide who will notify WRLS of the return date of the costume, if this is being adjusted.  The library who has it last is responsible for making sure all parts [e.g. the body suit, the head, the booties, and the gloves - see the list for all parts for each character] are returned with the costume.

Tips for use and care

Wearing

Each suit is made of synthetic fabric and is quite warm.  Light cotton clothing may be advisable for wearing underneath the suit, for indoor activities.  For outdoor events, lightweight outerwear may be needed.  We suggest the wearer use a cotton kerchief or cotton hat worn over the hair, to provide some relief from the heat and to protect the interior of the head piece from hair oils and sprays.  We also recommend that the wearer be advised to avoid using heavily scented lotions or colognes, as a consideration for future users.  We ask that the wearer refrain from smoking while wearing the costume.

Cleaning

The body suits, booties, and gloves are for the most part machine-washable and dryable, or able to be carefully spot-cleaned.  Borrowing libraries are not required to wash each suit before returning it - but it is expected that the costumes will be handled with care and consideration for the next user.  If a costume is stained during an event, please do take steps to wash it as soon as possible so the stain does not set.  The head is not to be placed in a machine or immersed in water - it must be spot-cleaned if necessary.  WRLS will arrange a regular schedule for cleaning.

Event Reports

WRLS would appreciate copies of any photos or news stories where a costume was used at a library event.  These will be nice for sharing ideas among our members.

These guidelines may be adjusted as the costumes circulate.  Librarians may make suggestions for more efficient handling, if they have them.
